How do you communicate with your university’s Student Conduct department? Do you regularly share incident reports with Student Conduct or only communicate with the department when a serious incident occurs? If you already use ARMS to record on-campus incidents, you can improve communication by using the Maxient Case Submitter tool. Maxient Case Submitter is an add-on for ARMS. This tool allows you to select ARMS case reports and electronically send them into Maxient. Campus personnel can then access this data via Maxient. Using this module gives institutions more visibility into on-campus incidents. There is no paperwork involved, and you can share data in just a few clicks. This eliminates the risks of serious incidents going unnoticed and gives institutions a more accurate view of campus safety.
The Maxient Case Submitter add-on gives you full control over the data you share, and you decide who reviews the incident reports and sends them to Maxient. Setting up the module is very simple, and you can start sharing data right away. You will need to install the Maxient Case Submitter on the workstations of the employees who will review the reports and send them to Maxient. It is recommended to have at least two or three employees handling this task. You just need to enter a unique institution code into the Case Submitter to determine which school will receive the reports. Once a report is entered into ARMS, you will be able to find it in the Maxient Case Submitter, thanks to the Date Reported feature. Schedule weekly reviews of incidents to send data to the college or university departments on a regular basis.
Note that you can share an ARMS report with Maxient users only once. You might want to delay submitting a report if you want to send a follow-up narrative with the data from the original incident. You can use the ARMS Notification Manager to receive an email when a new report matches certain criteria and needs to be sent to Maxient.
Use this feature for serious incidents that need to be shared right away instead of waiting for your weekly review. The authorized users should manually review the other reports on a weekly basis to determine which ones need to be shared. You can send a report to Maxient by simply checking a box, and the Submission History will help you keep track of what you shared. University personnel with access to Maxient will be able to look up records that include the name and contact information of the person who reported the incident; the nature, date, time, and location of the incident; the names and student IDs of the parties involved; as well as a detailed narrative of the incident. Using the Maxient Case Submitter on a weekly basis only takes a few minutes and makes a real difference when it comes to giving more visibility to colleges and universities regarding what is happening on their campus.
